One key to the crew, the spare with you
The crew needs one key, the one that turns the ignition and unlocks the steering. They'll use it to wheel or ride the bike to the carrier, and it travels with the bike so it can be moved again at the other end.
The spare stays with you. Not in the under-seat storage, not taped to the frame, not in the same envelope as the main key. If the main key is lost anywhere along the way, the spare is what saves you a locksmith's visit or a new lock set.
Take the bike key off your bunch before handing it over. A ring with your house keys, a locker key from work and a gate remote has no business going on a carrier.
If the bike has only ever had one key, because the spare went missing years ago, tell us at booking. Plenty of second-hand bikes come that way. It changes nothing about the move, but you might want to get a copy cut at a key shop before the bike leaves.
Handing over when you're asleep or at work
There are a few ways to do it. A family member or flatmate can be there with the key and the papers. A neighbour you trust can do it. In a gated project, security can sometimes hand it over if you've left the key and a signed note with them, though check that your society allows it first.
Whoever does it should stand with the crew while the bike is photographed before wrapping, and ask for the photos to be sent to your phone. You'll see them when you wake up.
Leave a short note signed by you, naming the person handing over, the bike's registration number and where it's going. Put it in an envelope with a photocopy of the RC and your ID, and hand that over with the key.
If you'd rather be there yourself, tell us your roster. A pickup straight after a night shift ends, before you sleep, or in the afternoon of a day off can usually be fitted in, and where your society allows it a later start is fine.
