When one of those has to move, because the employee is being relocated with it or the office itself is shifting, the paperwork is slightly different from a personal bike. The owner on the RC is a business, and the bike transport papers have to say the business agreed. Get that letter in hand early and the rest is ordinary.

Whose name is on the RC?

Check the registration certificate before anything else. If it shows a company or a firm as the owner, the person handing the bike to the crew is acting on the company's behalf, and the papers travelling with the bike need to show that.

What usually works is a short letter on the company's letterhead, signed by someone with the authority to sign it, stating the registration number, that the bike belongs to the company, who is handing it over, and where it's going. Add a photocopy of the RC and a copy of the ID of the employee handing it over. With those three in the envelope, anyone checking the load can see the whole story.
